Position Summary

The Office Administrator is responsible for creating a positive and welcoming experience for all in the office and will be an integral part of our firmwide administrative team.

This is a full-time hourly position and we are open to negotiating a set schedule from 32 – 40 hours per week. Due to the nature of responsibilities, this role requires the individual to be in the office a minimum of 3 days per week with the option to work remotely for the rest of the scheduled hours.

In this position, you will work with our team of 70 engineers, planners, accounting, IT, and marketing staff in the Portland office. You will fill many office-specific roles and operate as part of the firmwide administrative team. Your day-to-day responsibilities will be dynamic, comprising a wide variety of tasks and duties, many of which are outlined here:

  • Be the face and voice of the Portland office, including opening/closing the front doors and sitting at the front desk while in the office, answering the phone and greeting clients, visitors, and vendors.
  • Assist with meeting/conference/event planning, including supply/food ordering.
  • Lead office operations by keeping office and kitchen supplies, as well as groceries, stocked and common areas maintained and welcoming.
  • Send and receive mail/packages and delivering to staff in a timely manner.
  • Actively participate in the Administrative Team (i.e. firmwide administrative requests, monthly team meetings, training sessions, etc.).
  • Provide firmwide office support, including travel and accommodations assistance, calendaring, and database updates.
  • Prepare and/or compose correspondence, memos, transmittals, and e-mails, edit and/or print project deliverables.

Required Qualifications

  • 3-10 years relevant experience
  • Moderate to advanced Microsoft 365 skills (specifically Microsoft Word, Outlook, and Teams)
  • Strong time management and organizational skills
  • Strong written and verbal communication skills
  • Strong phone skills
  • Proactive, with the ability to thrive in a self-directed environment, work through challenges, and reaching out for help when needed
  • Attentive to detail
  • Capable of project prioritization and handling multiple assignments concurrently
  • Strong desire to learn
  • Communicative and positive with high level of customer service

Compensation and Benefits 

This position offers a competitive salary and benefits that include comprehensive employer-paid health insurance, a generous and flexible PTO program (in addition to parental leave), an outstanding retirement program, and a culture that seeks and values diversity and inclusion. 

The base salary plus retirement range for this position (place is determined by candidate’s experience): $45,000-$55,000.

We also recognize the performance of all staff through a performance bonus program based upon each individual’s contributions to key areas that lead to the achievement of our collective goals.

Our Portland office is located downtown, close to numerous bus routes, the Max Light Rail Blue, Red, Green, Yellow, and Orange Line stations, and the Portland Streetcar.
