Position Summary

The Office Administrator is responsible for creating a positive and welcoming experience for Kittelson team members in our Florida offices (Orlando, Fort Lauderdale, Miami, Tampa, and Tallahassee) and will be an integral member of our firmwide administrative team.

This is a full-time hourly position and we are open to negotiating a set schedule from 32- 40 hours per week. Due to the nature of responsibilities, this role requires the individual to be in the Orlando office with occasional flexibility to work remotely.

In this position, you will work with our team of 60 engineers, planners, creative services, and marketing staff in the Florida Region, supporting five offices. You will fill many office-specific roles and operate as part of the firmwide administrative team. Your day-to-day responsibilities will be dynamic, comprising a wide variety of tasks and duties, many of which are outlined here:

  • Be the communication hub of the Florida region, assisting staff in navigating their needs and providing support where needed.
  • Greet clients, visitors, and vendors as they access the unit and answer the phones.
  • Assist with local meeting/conference/event planning, including catering ordering.
  • Lead office operations, including keeping the Orlando office, kitchen supplies, and groceries stocked and common areas maintained and welcoming.
  • Receive, print, and ship deliverables and assist with public meeting preparations.
  • Set up desk space for new hires and assist with first day logistics.
  • Maintain printing and copying equipment stocked with paper and ink, coordinate with service technicians
  • Coordinate for the Tampa, Tallahassee, Miami, and Fort Lauderdale office needs.
  • Support the Florida business services team with collecting staff resumes and licensing information for audit packages.
  • Actively participate in the Administrative Team (i.e. firmwide administrative requests, monthly team meetings, training sessions, etc.).
  • Provide firmwide operations support, including event assistance, travel and accommodations assistance, and staff related database updates.

Required Qualifications

  • Proactive, with the ability to thrive in a self-directed environment, work through challenges, and reach out for help when needed
  • 3+ years prior experience in administration or related field
  • Experience using Microsoft 365 (specifically Microsoft Word, Outlook, and Teams)
  • Strong time management and organizational skills
  • Strong written and verbal communication skills
  • Attention to detail
  • Ability to prioritize projects and handle multiple assignments concurrently
  • Strong desire to learn
  • Communicative and positive with high level of customer service

Compensation and Benefits 

This position offers a competitive salary and benefits that include comprehensive employer-paid health insurance, a generous and flexible PTO program (in addition to parental leave), an outstanding retirement program, and a culture that seeks and values diversity and inclusion.

The base salary plus retirement range for this position (place is determined by candidate’s experience): $45,000-$60,000.

Our Orlando office space is conveniently located within a 10-minute walk of the SunRail commuter rail station at LYNX Central Station. It is also within a few steps of LYNX bus stops serving nine different routes with service throughout Orlando and its suburbs.
