Position Summary
We’re looking for a proactive, upbeat Office Administrator to anchor day-to-day operations in our Boise office and support facilities projects across the firm. You’ll be the logistics point person: organized, resourceful, great with vendors, and excited to learn new tasks with a sharp eye for office layouts and flow. This is an onsite role in Boise with occasional travel to other offices as needs arise.
A positive attitude with the ability to adapt in a fast-paced environment is essential. You should be able to anticipate needs, propose solutions, and collaborate effectively to ensure projects are completed successfully.
Key Responsibilities
The Office Administrator plays an important role in creating a positive and well-organized environment for the Boise team while contributing to the broader efforts of Kittelson’s firmwide administrative network.
In this position, you will:
- Create a positive, professional experience for staff and visitors in the Boise office.
- Serve as the primary contact for daily office needs; coordinate seamlessly with staff, vendors, and the firmwide admin team.
- Own the essentials: supplies, mail/shipments, printing, and kitchen/grocery restocking to keep the office running smoothly.
- Support meetings and events (room setup, simple AV checks, catering coordination, and cleanup).
- Keep common areas welcoming, organized, and functional; maintain storage systems and signage.
- Assist onboarding logistics and workspace prep for new hires (desks, chairs, basic set-ups).
- Partner with Facilities/Operations on space planning and moves; bring a keen eye to layout, ergonomics, and flow.
- Liaise with building management for maintenance and repair requests; track to completion.
- Coordinate vendor quotes, scheduling, deliveries, and installations for furniture, equipment, and supplies.
- Track inventory and assets for office/facilities resources.
- Provide onsite support for projects in other offices (occasional travel).
- Anticipate needs, solve problems early, and suggest process improvements that enhance employee experience.
Qualifications
Required Qualifications
- High school diploma or equivalent
- Proficiency in Microsoft 365 (Teams, Outlook and Word)
- Strong organizational skills and reliable follow-through
Preferred other Qualifications
- Clear, positive communication and a service-oriented mindset.
- Proven problem-solver who can work independently and knows when to loop others in.
- Comfortable contacting, coordinating, and following up with vendors.
- Enthusiasm for learning new tools and tasks.
- Eye for space planning and office layout (experience with simple floor plans or tools like Visio/Bluebeam/Miro is a plus).
- Ability to handle light office moves/box lifting on occasion and support event setups.
- Willingness to travel to other offices as needed.

The compensation range for this position is $55,000- $66,000, which includes the 401K contribution noted above. Placement in range depends on experience.
